Q: Is ClientTracker compatible with OS X Snow Leopard?

A: Yes, it is fully compatible and has been tested under OS 10.6. You will need to install Rosetta before ClientTracker starts up. This generally happens automatically when you start ClientTracker for the first time after upgrading to Snow Leopard. If not consult your Apple documentation on how to install Rosetta.

Q: Is it possible to move my data from other software into ClientTracker?

A: We are able to import your patient information (name, address, phone numbers, email, birthday, notes) into ClientTracker from Acubase for a $75 service fee. Add the 'Data Import' product to your cart when purchasing ClientTracker, and we will contact you with instructions on getting your data to us. Click here to see our products page.

In may cases we are able to import client information from other software formats. We charge $75 per hour for this service, which typically takes 1-3 hours. You're welcome to send us an export file before purchasing the program and we will determine how much of your data can be used. Look for an Export item in the File or other areas of your software to create this export file. Generally, patients and inventory are the types of data we are able to import into ClientTracker. Once you have an export file, contact us for instructions on getting to us.

NOTE: We are NOT able to import billing and appointment information at this time.

Q: Can I ClientTracker be integrated with Quickbooks? Excel? Other programs?

A: With ClientTracker you can export your data into common text file formats like CSV and TAB which can then be imported into other software. While getting data from this format into Excel is a snap, getting it into a complex relational database like Quickbooks is much more involved. We recommend that you do a report with ClientTracker at the end of a period (weekly, monthly, etc.) and the enter your totals into Quickbooks income account(s).
Importing data into ClientTracker from text files is also possible. As long as the fields to import are compatible with the way data is stored in ClientTracker, it's not difficult to do import operations yourself. If data is stored at all differently, you have the option of having our developers import your data for you (see previous question).

Q: Do you plan on charging yearly subscription fees for the software?

A: No. We intend to continue providing quality practice management software at a fair one-time cost.

Q: Does the program come with diagnosis codes and procedure codes?

A: Yes it does, and you can add your own and edit/delete the ones that come with the program. It's also possible to do periodical updates to these codes from within ClientTracker if you have an internet connection on your computer.

Q: Does the program utilize the new CMS-1500 insurance form?

A: The new form and NPI numbers are to be included in Version 3.4 in March 2007.

Q: I work in a different field than acupuncture. Will the program work for me?

A: We have a growing number of users working in other fields and modalities. To some extent, managing a practice is managing a practice. If you are wondering how it will suit your particular needs, please download our free demo and try it out. The SOAP notes are really the only area that is acupuncture-specific, and even this is customizable in some ways. If you do find it is useful for your practice, please let us know!

Q: Can I sync data on multiple computers with ClientTracker?

A: Concurrent multi-user access is not currently possible with ClientTracker. We do acknowledge there is a demand for it and will be developing a web-hosted version of our product that will allow multiple parties to access the same data over the web using SSL encryption.

If you need to be able to make changes from other computers we suggest looking into some kind of Remote Desktop system like Apple Remote Desktop or Timbuktu. This allows you to enter data from a 'client' computer, but the main 'host' computer cannot be used until you were done. It does allow the data to reside in one place so there is no need to sync data on different computers.

Q: Can I install ClientTracker on more than one computer?

A: With the purchase of a ClientTracker license, you are entitled to install the program on 2 computers under the same practice name. These can be Windows, Mac or both. These installs of the program will have separate sets of data; if you need to have multiple computers in sync, see the previous question.

Q: How many practitioners can use one copy of ClientTracker?

A: There is no limit to the number of individuals that can be entered as practitioners, as long as they operate under the same practice.
